This information will be of interest to medical staff association (MSA) support teams, please feel free to forward the newsletter to your MSA executives as needed. Upcoming Integration of SEAT with FEMSACTION: Before the October 15 SEAT submission deadline, we are asking you to review your engagement activities listed in SEAT and ensure that their titles have a word-for-word match in FEMS. We are pleased to announce that development is underway to integrate the Site Engagement Activity Tracker (SEAT) online submission form with FEMS. This has been a longstanding request from Project Managers and staff entering SEAT data, and will help make your data entry simpler so that you can continue learning from each other’s experiences, avoid reinventing the wheel, connect around common activities, and identify common challenges and learnings that can be supported by the provincial team and the Specialist Services Committee (SSC). What does this integration mean for you? When entering engagement activities you will no longer need to go to two places (FEMS and SEAT). Simply go to “Create a New Engagement Activity” in FEMS and fill in the data fields. You will have the choice of including or excluding the activity in the SEAT database. If you select yes to include it in SEAT, additional fields will populate so that you can provide information that will be helpful for your peers. Where will I see other engagement activities for other sites around the province? For the time being, you will continue to find information on other sites via the SEAT database. You will only be able to see your own site’s activities within FEMS. Will I be trained on the integration? Yes, we will run a (recorded) webinar for all those responsible for completing SEAT and distributing a Step Guide for your perusal. What will happen to my entries currently in SEAT? How will they be pulled over to FEMS? We will run a script in the back-end to migrate all of your data for you. However, we will need your help matching the activities that you have entered in SEAT with those in FEMS. The titles for the activities you have in SEAT will need to be changed where applicable to ensure they match in FEMS. This will be a one-time request. What if I haven’t included some of my engagement activities in FEMS or SEAT? That is to be expected as not all activities may be necessary to share in both systems. For the data migration process, we need to ensure that all of your SEAT activities can fit somewhere in FEMS (but not vise versa), otherwise your data will not be pulled over in the migration. All existing SEAT data will be backed-up and can be sent to you upon request by emailing seatsupport@doctorsofbc.ca. When is the timeline for the integration? We will close the SEAT online submission form shortly following the October 15 SEAT submission deadline, to begin the data migration process. We hope to complete data migration and testing in preparation for a release in the beginning of 2022. What do I need to do now? Between now and the October 15 SEAT submission deadline, please review all of your engagement activities listed in SEAT and ensure that their titles have a word-for-word match in FEMS. For example, if “Computer to Colon” is the title used in SEAT and “2021/22 – Activity – Computer to Colon” is the title in FEMS, then SEAT should be changed to include “2021/22 – Activity –“. A Step Guide is provided here >Getting Your SEAT Data Ready. If you need any assistance with this task please don’t hesitate to connect with your EP or seatsupport@doctorsofbc.ca.
