If this is a large event you may need months to plan, if it’s a smaller event, maybe you only need a couple of weeks. Discuss this with your team and determine how much time you will need to plan, and which season works the best for your event. VenueStart thinking of venues that will host your event. Knowing the date & time you want to aim for will help the venue determine if they have an opening for you. CrowdHow many guests fit in the venue comfortably? How much food will you need? Talk to the venue to see what they have done in the past. Glean from their experience. BudgetStudy the list of tasks and reflect them in your budget. It is also worth thinking about a reserve in case of unforeseeable circumstances. Sponsors, Goods & ServicesSome businesses will sponsor part of the event, others will donate goods and services to your event (Like a gift basket for a basket raffle, or snacks for a 5k). Make a list of businesses that you can ask for help. (Ask Client Services for tips on approaching a business!) Floor-planHow do you want your event to flow? Drawing a floor plan and creating several points of interest will keep people moving and avoid bottlenecks. Set up a table in a prominent place with your campaign information and flyers. (Ask Client Services about flyers and QR codes!) Delegate!Do not do this by yourself. Ask for volunteers for the event, and delegate tasks for your team to accomplish. If you have a core team of four or five, you can make yourself, and each of them a team leader for a different aspect of the event. CampaignYou have your event date, time, location and details are being worked out by the team. You are now ready to start inviting and getting the word out there! Get on your Facebook fan page and tell your followers about it! Share often, along with your campaign link and photos as you get ready for the event. You can also utilize your fan page for the last two steps. Make sure to post a thank you for all of your guests, and ask for input from those who attended. After your event is over, you can share photos from the event as an attention grabber when you share your campaign link. Crowd ReactionPay attention to your crowd, especially if you want to plan another event. Think about setting out short surveys where guests can tell you what they liked about the event.
