Just a friendly reminder that a person’s University OneDrive is deleted 180-270 days after they depart from the University. Before a staff members’ employment ceases, information should be disposed of, or moved to a collaborative application appropriate to the team to encourage corporate memory and business continuity. For further information please refer to the section Data Privacy and Retention /Disposal for OneDrive in the KBA below.
Can I categorise my information in RMSP using folders and subfolders? RMSP doesn’t support the use of folders and sub-folders – it instead favours the use of metadata to group and categorise information. Visit the following KBA for more information.
Can I collaborate on a Word document stored in my Record Managed SharePoint library? Yes you can. Watch the 3 min video below.
3. Leaving or Relocating?
Staff who are leaving the University or relocating from their team need to ensure that any records they were responsible for in their role are captured, moved and/or prepared for disposal. Please refer to the link below for further information
In a recent upgrade to Yammer, the existing Records Managed SharePoint community along with some other communities were deleted in error – if you’d like to stay connected and in the know, join our new community here
5. Farewell Dr Eva Samaras!
We say goodbye to Dr Eva Samaras who has left to pursue her new role of Assistant Director, Digital Archives Innovation & Research at the National Archives of Australia. Eva joined the team as a Records & Information Analyst just under 12 months ago.
During the course of Eva's time in the role, she led and supported a variety of projects and initiatives. On behalf of all of us in Legal & Risk, and especially Records & Information, we would like to say a big thank you and we wish you all the very best.
6. Records Management Network
A big thank you to all that attended the Records Management Network meeting which was held on the 17 of May as part of Information Awareness Month. Our guest speaker Darren Tinai, Cybersecurity Awareness Lead, Cybersecurity gave a great presentation and provided some very valuable resources. You can check out the Presentation below
As the University moves away from it’s “virtual campus” into hybrid operations, training in Records Managed SharePoint & Content Manager will be hosted over Zoom to remain accessible to all. Records Managed SharePoint: 25 August, 27 September, 27 October Content Manager: 17 August, 20 September, 20 October
