Your company has many assets; property, equipment, propriety products, brand, workforce and clients to name a few. You spend money on insurance, training, repairs and marketing to nurture these assets so they improve in value.  You consider this to be a worthwhile investment that will provide a good return in the long-run.  I believe your records are an equally important asset – worth investing the resources to keep them secure and well-managed to improve their value.

Accurate data management will most likely bring greater efficiencies in the delivery of services, quality of work, employee satisfaction, company’s reputation and savings in resources. All facets that contribute to your company’s profits and growth; in affect providing a good return on investment.

Data security is another investment.  Beyond just safeguarding your clients’ privacy and any business loss due to Privacy breaches; data security can be turned into a positive brand value and communicated through your marketing.

For example; financial institutions spend millions ensuring that they mitigate as many security risks as possible. They also heavily invest in technology to improve customer experiences and access to financial information.

These investments are communicated in their brand value to gain customers. In turn, these assets enhance the company’s brand; grow market share and net worth.

At TIMG, we have heavily invested in both physical and digital security; not only because this is what our clients expect but imperative for us to successfully conduct business. In preparing for our future, we have invested in the development of innovative technology for managing data. These investments are part of our brand value and a valuable asset that we believe will deliver a high ROI.

So I believe it’s fair to say, that all companies, large or small, should view data protection and management as a positive investment providing a quantifiable high ROI.

We have built our business and reputation on ensuring complete security and good management of data. Our clients know that their data is protected and well-taken care of. They evaluate their ROI through better workflow practices, happier employees and considerable savings in time and resources.

At TIMG we have invested heavily in our people, systems and processes to deliver a better ROI for our clients. If you need help to present a business case for investing in security and better management of your data, please connect with TIMG.

As data tapes celebrated, its 63rd anniversary earlier this year, the tape has remained resilient and practically indestructible.

Data tapes debut in 1952, with the IBM 726 Magnetic tape reader/recorder, improving with age.

When tape first went to market, the media itself weighed 935 pounds or 424 kg and held 2.3MB of data. In 2015, a tape now weighs closer to 12 pounds or 5.4kg, and 2.3MB would comprise one large photo or a short pop song. Tape storage density is expanding rapidly. Today, the largest digital tape stores up to 185TB (soon to be 220TB), versus only 10TB for the largest available disk drive, providing a significant cost benefit.

Essentially, tapes have become an enormous USB drive – easily transportable to secure off-site locations.

With more and more companies investing in cloud technologies, you are probably thinking that data tapes are not relevant. In fact, IBM has been investing in magnetic tape research because of the advent of Big Data. As companies look for ways to save tremendous volume of data to drive Big Data applications, magnetic tapes present a favourable option.

And while some may speculate about the imminent demise of tape, others are more optimistic – claiming a bright future where tape will continue to prove its worth, able to reach dizzy heights and capable of holding up to 48 terabytes.

Here are top 10 reasons why to keep using data tapes:

  1. Solid 50 year track record for secure storage
  2. Backbone of many enterprise storage systems
  3. Enormous Capacity in Single Cartridge
  4. Total indestructible – long media life (20-30 years)
  5. Easily transportable and able to be secured in off-site facilities.
  6. Effective back-up for disaster recovery from data breaches and viruses
  7. Lower energy costs and longer shelf life
  8. Works well with Cloud based archives
  9. Scalability – increase storage to meet future growth
  10. High speeds of transfer and granular control over where a piece of data is stored.

Many of TIMG’s clients readily back up their data on data tapes which are collected regularly by dedicated and professional customer care staff and stored in vaults to ensure complete security.

When Sam Giudice and his wife, set up Integrated Imaging Systems (IIS), with just one machine, who would have believed 25 years later, it would become part of one of Australia’s leading information management  companies – T!MG.

From humble beginnings starting with Microfilm storage devices and later CDs and scanners, Sam grew the business by staying one step ahead of the game – innovating to fill the gap in the market.

“Being small, we needed to be innovative to differentiate ourselves. We achieved so many firsts; first to import a scanner into Australia, first to delve into online imaging retrieval and first to integrate this with digital solutions.  We were extremely successful, employing 50 employees in our peak times. As we developed automated technologies, we were able to halve our workforce, giving our clients more cost-benefits.  Some of whom have been loyal to us for over 20 years,” said Sam.

Sam began his career as a university graduate in the research department of Kodak in Melbourne, and quickly found his niche in sales and marketing. First selling equipment and later working in the scanning bureau, igniting his passion for imaging solutions, and eventually setting out on his own.

Integrated Imaging System came to the attention of TIMG a few years back, impressed with the company’s longevity, customer-focus and smart-thinking.

TIMG acquired IIS almost 12 months ago now, the move was part of the company’s strategy to offer an all-inclusive service for clients that integrates documents into all workflow processes.

Sam Giudice, joined TIMG as the E-Business Sales Manager, in Melbourne, to help continue the company’s push into e-business.

Sam Guidice

He plays a significant role in business development and mentoring staff in digital imaging solutions.  His wealth of knowledge and passion is well-respected in the company.

“It’s great having the resources of a large company to continue developing digital technologies and helping TIMG grow and service our clients,” said Sam.

Data capturing and integration services has become an integral part of TIMG’s service offerings with many clients in the retail, finance, legal, health, manufacturing and professional services taking advantage of conversion and digitisation solutions.

IIS team hard at work

The TIMG development team have been hard at work; working with software developers to create an App that will instantly transfers data from mobile devices to a digital storage vault.

The recently launched TIMG VOI App allows for easy loading or entry of private information, documents or contracts collected on behalf of clients to be archived without needing to store the information on your mobile device first.

The main beneficiaries of the TIMG VOI App are conveyancers, legal firms, financiers and property agents who are required by law in VIC and SA to collect VOI information. The emphasis of VOIs by government means that other states will mostly likely follow suit.

The App is designed to be used with the TIMG VOI Report Vault and or Closed File Archiving solution giving clients a secure and cost-effective means of storing data online. The system guarantees to deliver a high ROI with the cost easily recoverable through savings in time, resources and improved customer service.

Clients can create a VOI episode in the TIMG VOI Report Vault; upload images or information directly to our secure website and retrieve when needed. Only authorised staff can create or search for VOI episodes, track related files and manage VOI currency, minimising the risk of privacy breaches. The VOI Report Vault is accessible 24/7 and offered as a complimentary service when used with TIMG Closed File Archiving system.

Typically, legal documents need to be kept for at least seven years which can place a huge strain on resources for legal and conveyancing firms. TIMG’s Closed File Archiving provides firms with another option to store information securely and cost-effectively.

Here’s how Tammy Edwards, MD of Tuckfield Conveyancing, and recent finalist in the Telstra Business Women’s Award in SA, describes her experience with the VOI Vault Report and Closed File Archiving solution:

We were hesitant at first as we were concerned about our clients' reaction to the extra cost being passed on to them, but once we saw how safe and secure it was, and explained the benefits to them, there has been no dissent whatsoever.  Our internal processes are much more efficient as previously we had one full time staff member scanning in our files. We spent hours searching through files and boxes in the past. The files were stored on our premises and taking up valuable space. The VOI Vault Report and archiving solution is so easy – everything is barcoded, so we know where everything is and it’s easily retrievable.  I’m looking forward to using the TIMG VOI App in the future.  We currently use another service that provides an App, but TIMG’s VOI App will eliminate another step for us and again save my team time. TIMG have been very supportive of our office, our industry and continually deliver on service.”

VOI’s are securely stored offsite on servers in Australia. TIMG’s operations are certified to and/or compliant with the highest Australian and international records management standards.

Download for Android and Apple

The APP is free to download from all Android and iPhone devices.

REIQ Summit Delegates learn how to work smarter

Hundreds of delegates across Qld attended the REIQ Summit earlier this month, to be inspired, and gain greater professional skills and knowledge.  TIMG is proud to support the industry and share our insights of workflow processes and security.  The TIMG Team spoke to many delegates at great length, making them aware of ways in which they can use digital and scanning services to reduce the time and resources spent on tedious jobs, but still maintain security.  With the property market booming the pressure on agents to store large volume of files is excessive. The Queensland Law Society recommends that each property contract/ tenancy agreement is held on average for seven years.

This cost can add up considerably, especially for smaller firms with limited space.  Security of private information is another concern as most agencies only have basic safety systems in place.

Congratulations to our lucky prize winners, Jacintha Murphy from Ray White pictured with Jason Biggin and Brendan Felstead, TIMG Qld and Christina Douglas, Toowoomba City Realty holding her newly won camera with Jason.

Last month we asked: What was the original company that evolved to become TIMG? What year was it founded?

Answer: DataBank Technologies, founded in 1999.

We have a winner: Madeline Evans, from a leading accountancy and business advisory firm in Perth.  Madeline’s correct entry was drawn from many entries received to win a 4TB hard drive.

Madeline said “I’m never lucky, but it was great to win this and I think I’ve won a big prize from Retravision all in the same week!”

Madeline is pictured with Kevin Yeates, City SR from TIMG Perth. She kindly took the time to sing Kevin’s praises: “Kevin knows exactly what to do, I don’t even have to be here and everything is done perfectly, he really looks after us”

Congratulations to Madeline on her prize win, and Congrats to Kevin for doing such a great job and on the wonderful feedback.
