Most of your returning and new advisees should be properly registered for the spring semester, which means it's time for "Review Complete." Sometime before the Friday, Jan. 31 deadline, you'll need to meet with each of your returning and new advisees, review their final schedules, submit “Review Complete” for each one, and archive their plans. This “Review Complete” process was put in place at the request of faculty who wanted to be able to meet with their advisees to review their final course selections during the first two weeks of classes. Here’s a quick guide to the process: 1. Student Planning will alert you to these requests. You will see a yellow icon next to each student’s name as shown below. 2. After you meet with your Advisees, and you and the advisees agree that their semester schedule is final, you then need to do the final step in the advising process: click the “Review Complete” button as seen outlined in red below.3. Once you have clicked “Review Complete,” that button will change to “Reviewed,” and you’ll see two notification pop-ups: one confirming that the review was completed, and one asking if you want to archive the plan. Please archive the plan by clicking ARCHIVE - this will give you a record to refer to if your Advisee makes changes later. 4. You’ll next see a new pop-up confirming this, and also the notation of who last reviewed the student’s record and when. You can clear the pop-up, but the notation will remain. The “Review Complete” button will now say “Reviewed” and cannot be clicked again unless the advisee requests another review. How to Grant or Deny Approval for Over 19 CreditsLast semester, at the request of faculty, we put in place the requirement that students who want to take more than 19 credits, must receive approval from their advisers. If you have advisees who want to take more than 19 credits, you will use the form available in WebAdvisor to either (1) approve, (2) deny, or (3) refer the student to a dean for further discussion. Starting next week, you will also receive daily emails listing your advisees who are registered for more than 19 credits, along with their current class schedule. View and approve requests for over 19 credits via WebAdvisor. Click “Review Students Over 19 Credits”: This will take you to a screen that lets you view and respond to requests for over 19 credits: Enter the number of credits you approve along with any notes. Notes will be visible to the student (as well as their other advisers and class deans) in the “Notes” section of the student’s Student Planning record, so please edit your note with that in mind. If you are not approving the student to take extra credits, please enter 19 in the Approved Credits box. If you and your advisee cannot reach an agreement about the appropriate number of credits for them, you may click “See Dean,” to refer the student to a class dean for further consultation. The student and dean will be notified. Next week, the Dean of Studies and Registrar’s Offices will begin reviewing students who have not received permission to take over 19 credits from their adviser or class dean. Students who do not drop the extra credits will be dropped from their last added courses until they are at or below 19 credits. Key DeadlinesTuesday, Jan. 21 Registration opens for ALL students and will remain open until 9:45 p.m. Registration will be open on Monday through Friday, 9:30 a.m. – 9:45 p.m. through Friday, Jan. 31. Students can view their assigned registration times each day in Student Planning. Your students might refer to these days as the “Shopping Period.” Tuesday, Jan. 21 – Friday, Jan. 31 Schedule meetings with ALL your advisees to finalize their schedules and click “Review Complete” in Student Planning. Friday, Jan. 24 - Monday, Jan. 27 Students who deferred exams from their fall 2019 classes will take the exam(s) on one of these days. Full details are available here. Friday, Jan. 31 Last day to approve or deny permission for your advisees to be enrolled in more than 19 credits. Last day to approve your advisees’ schedules by clicking “Review Complete” in Student Planning. Please note that you will need to Review Complete all of your advisees (including those who you may have also approved to take over 19 credits).
