Aeon Report from the Field: UC Riverside Launches PayPal Credit Payment for Reproductions

It's a new world in Special Collections & University Archives at University of California Riverside (UCR). In May 2017 the UCR Library implemented the Aeon Credit Card Gateway to provide researchers with the ability to charge reproductions to a PayPal account, using credit card, debit card, or PayPal credit.

According to Robin M. Katz, Outreach & Public Services Librarian, the library has been advocating for local policy to support this capability for years. "Our collections are accessed online by an international community of researchers," Robin said. "It is very cumbersome for them to send checks for their reproductions, which was the only way we could accept payment previously. UCR is currently implementing a "no cash" policy, so we no longer accept checks and researchers can request their reproductions and pay for them online. We couldn't be happier with the way the Aeon Credit Card Gateway works."

Library staff worked closely with the campus IT team to configure PayPal and with Katie Gillespie at Atlas Systems, who configured the Aeon database and webpages to ensure the Gateway would work correctly.

In an email to Special Collections staff, Robin described the ways the ability to accept credit card payments will benefit the library and its patrons.

"And now, finally, our patrons can easily pay for scans online in their Special Collections Request System account! This will benefit everyone - it will greatly speed up the process for all patrons now that we don't have to wait for mail to arrive, it will be a huge relief to our international researchers who had to pay ridiculous fees and go through hoops with their banks in order to send us checks, and it will stop confusing our (usually younger) patrons with newer accounts since many banks do not automatically issue checkbooks anymore. We know that many patrons decided not to place orders due to the old check requirement. So, we are entering the 21 st century!"

Aeon and ArchivesSpace Grow in Fiscal Year 2016/2017

You'll also find a variety of training videos in the Video Training Library to provide step-by-step details on using the ArchivesSpace software. The videos present a simple concise program to allow a new user to get up and running on the ArchivesSpace software quickly. Introduction to ArchivesSpace Training Class

Course Description
Have you been thinking about using ArchivesSpace? Are you wondering about how your institution's finding aids and archival data would look in ArchivesSpace? During the formal hands-on workshop, you will learn how to create accession and resource (finding aid) records in ArchivesSpace. Outside of the formal online workshop hours, attendees will be able to practice on an ArchivesSpace server for several days following the workshop. There will be some examples to practice with during the workshop, but you can also practice with your own finding aids. As an added bonus, attendees will also receive a free month of access to the Atlas Systems Video Training Library of ArchivesSpace videos. This course is limited to 20 participants.

Aeon Concierge Service: Need Reports? We can do that!

The Aeon database contains a wealth of information about your reading room and photoduplication activity that can be used to identify potential new services, improve existing services, or assess impact. Much of this data is available through the Web reports included with Aeon. All Aeon customers may access their own data to create custom reports using Microsoft Excel or other reporting tool as needed. One of the many benefits enjoyed by Aeon Concierge customers is the ability to request custom report creation or assistance from Atlas staff.

Recently, an Aeon Concierge customer at a Midwestern university began working toward implementing the Aeon Credit Card Gateway using PayPal for photoduplication orders. Library staff needed some information to support their planning and decision-making processes for the project including:

  • Number of orders by time period (month or year)
  • Average charge
  • Range of amounts charged

Our data and reports specialist Kevin Ford was able to accommodate this request to create on-demand reports for the library staff to run from the Aeon reports menu. The library can now access the data anytime for the specific time period under review, export to Excel for further manipulation in pivot tables, re-use as needed for project implementation.
