Your Update Companion is Available Tomorrow
Starting tomorrow, Friday, Jan. 29, your Update Companions will be available for your review for the Sunday, Feb. 21 Epic Update. Your review process is easier this year. There is no required acknowledgment button to click and we have added more places you can find your Companion for more convenient review. There is also a new section right up front that lets you know the top changes for your role. Please take the time to review the new changes so you are prepared on Sunday, Feb. 21. You can find your Update Companion: - In tomorrow’s special Epic Update email.

Your Companion includes a new at-glance-overview
of the most important changes. Some general changes for all roles include: - MyChart: New look and feel, and patients can hide providers (see article below).

- Patient Education: Less clicks to quickly save your documentation and resolve an education point.

Only See Your Providers in MyChart
Effective Sunday, Feb. 21Beginning Feb. 21, you’ll have the option to hide providers from the Care Team within MyChart. This is particularly helpful if you don’t see a certain provider anymore or haven’t seen them in some time. This tipsheet shows you how.

DocuSign Account Request Process Updated
Effective NowDocuSign, an application for collecting electronic signatures, continues to be of great benefit while many continue to social distance and work remotely. Our enterprise account of DocuSign is available by request. To better serve HM’s needs and ensure the right individuals receive access, we’ve made some changes to the request form. For All HM Apple iOS Device Owners
Apple Warns of Security Threat: Update Your Mobile Apple iOS Devices
Effective Monday, Feb. 8, 9 a.m. Apple is urging all users to update their devices to fix security flaws. By 9 a.m. on Monday, Feb. 8, be sure to update any of your mobile Apple iOS devices that are enrolled in Microsoft Intune Company Portal to the latest operating system version available. This ensures we are meeting security requirements and keeps HM safe. Devices that are not compliant by this time, will not be able to access company resources through their Apple iOS devices. How do I know if I’m enrolled in Microsoft Intune Company Portal?
If you installed the Intune Company Portal app on your device(s), you’re enrolled. The app looks like this image below.
How do I know if I need to update my device?
Go to Settings and click General. If you are not on the latest version, you will see a red circle next to Software Update.
How do I update my device?
Visit Apple Support for step-by-step instructions on updating your iPhone, iPad or iPod touch to the latest version. We recommend you back up your device first using iCloud or your computer. What if I don’t update it?
Apple devices that are not running on the latest version do not meet security requirements and put our organization at risk.
For Rover Users
Rover Zebra Smartphone Update
Downtime – HMH: Tuesday, Feb. 1, 1 – 3 a.m.
All Other Hospitals: Tuesday, Feb. 16, 1 – 3 a.m.The Rover Zebra smartphone quarterly upgrade is Tuesday, Feb. 1, 1 – 3 a.m. for HMH and Tuesday, Feb. 16, 1 – 3 a.m. for all other hospitals. Be sure your Zebra smartphone is turned on with the battery charged before your downtime. Otherwise your phone won’t receive the Feb. 21 Epic Update and won’t function properly. Your individual downtime – five to 10 minutes - Your individual downtime will last about five to 10
minutes. Rover will drop what you have in progress. When you log back in, Rover will prompt you about incomplete work. You can then continue documenting where you left off.
- You can still use your phone for calls, but use Epic on workstations for documentation.
After the upgrade - Activate Rover. For the End User License Agreement, tap Accept.
- Login with your HM username and password.
What’s new - Updated Rover app and phone directories.
- Added password security – entire password is hidden.

IT maintenance is planned for all HMSL (including MOBs) and for HMSL MOBs only. Everyone will lose network connection to business systems and medical devices for about three minutes during the respective timeframe, but devices should reconnect automatically. If your devices don’t reconnect, please reboot. To prepare, keep your systems and devices turned on and online, and save your work often during the downtime. FOR HMSL (including MOBs)

Tuesday, Feb. 2, 5 p.m. to Wednesday, Feb. 3, 4 a.m. - Impacts systems and devices like Vocera badges, Zebra smartphones with Rover, pneumatic tubes, air conditioning, MRIs, CTs, laptops, WOWs, desktops, printers and more.

New Mapping Software Coming to HM Kiosks
HMWB: Monday, Feb. 1
To make it easier for our patients, visitors and volunteers to find their way around our hospitals, we’re installing new mapping software in navigation kiosks systemwide, with HMWB scheduled on Monday, Feb. 1. These kiosks provide step-by-step directions to areas like cafeterias, gift shops, restrooms, Medical Records and even doctor’s offices. New features include things like 3D images and wheelchair accessible routes, and you can even send directions straight to your phone. Kiosks have successfully launched at HMTW, HMW and HMSL. Remaining campus launches will continue through 2021.

Positive Delirium Best Practice Advisory Updated
Effective Thursday, Jan. 28 The Best Practice Advisory (BPA) for Positive Delirium Screen now includes three new Acknowledgement Reasons. This informs providers of a new positive screen and allows nurses to document providers’ awareness of the screen or provide other information in the Comments section.
The BPA continues to trigger every 72 hours based on a positive delirium screen.
Network Maintenance (Systemwide)
Thursday, Jan. 28, 8 p.m. – Friday, Jan. 29, 3 a.m. Epic, Lab, PACS, Pharmacy and internet: Be prepared for intermittent slowness and access issues, lasting up to five seconds. If you experience issues, including missing computer icons or shared drives, shut down your computer and restart. Save your work often before and during this maintenance.
Friday, Jan. 29, 9 – 11:59 p.m. To prepare, be sure to leave your workstations turned on and connected to the network.
Saturday, Jan. 30, 10 p.m. – Sunday, Jan. 31, 5 a.m. LMS will not be available due to maintenance.
Laboratory Information System (LIS) SOFT Downtime Affects Epic
Sunday Jan. 31, 10 p.m. – 2 a.m. Epic orders and results will not transmit. Use standard Epic downtime procedures for specimen collection and blood transfusion scanning (BPAM). Pending information will send after the downtime.
Tuesday, Feb. 2, 10 p.m. – midnight Be prepared for intermittent or no access. Follow your department’s standard downtime procedures.
