I’ve been out in the field, fully immersed in employee engagement and resident satisfaction initiatives—and one theme is undeniable:

Communication isn’t optional. It’s the bedrock.

Without a strong communication plan, team members won’t be engaged—and residents and families won’t feel connected. Here are the essential ingredients for a solid communication framework in your community:

Elevate your Operation

 

There are a lot of different ways to create this recipe but the following ingredients are a must.

1:1 Meetings – The Trust Builders

Every team member should be able to tell you:

  • When they last had a one‑on‑one with their manager.

  • When the next one is scheduled.

  • They bring their own agenda to discuss with their leader

  • 1:1's are 50% personal and catching up, and 50% business related

Whether it’s weekly, biweekly, or monthly, consistency is what matters. These meetings build trust, surface issues early, and make people feel heard. Skip them, and disengagement will follow.

 

Shift & Team Huddles – The Day’s Pulse

Short, focused gatherings (5–10 minutes) on every shift:

  • What are today’s priorities?

  • What’s working well? What isn’t?

  • You asked, we delivered.

  • Real-time feedback.

  • How can we support each other and our residents?

These huddles keep everyone focused and aligned, and give staff a chance to contribute solutions and feedback.

 

Stand‑Up – The Day’s Starting Point

This is where the day—and the messaging—begins.
Stand‑Up sets the tone, shares critical updates, and provides direction that trickles down into huddles and 1:1s. Want consistent alignment across your community? This is where you build it.

Stand-Up, when done right, acts as a daily version of QAPI where you discuss the highest leverage datapoints that will move your community forward.  Every department and attendee should come ready to report out on agreed upon lead measures that signify success in their area.

 

All‑Staff Meetings – The Culture Connectors

Held monthly, these meetings should:

  • Celebrate wins and recognize excellence.

  • Share strategic updates or changes.

  • Reenergize the team and reinforce purpose.

  • Feel valuable—not just another “go‑to” meeting.

These gatherings are your chance to inspire, reinforce culture, and bring everyone together on shared goals.

 

Why It Matters: Communication Drives Results

A strong communication plan doesn’t just feel good—it delivers results you can measure:

  • Lower turnover: Team members who feel heard are more likely to stay.

  • Higher satisfaction scores: Families and residents who are informed and involved report better experiences.

  • Stronger compliance: Teams that are aligned and in sync miss fewer details.

  • Speed: Communities that can act fast, implement change, and collect feedback daily are the communities who win.

If you're serious about improving KPIs, communication needs to be at the center.

 

Watch‑Outs: Common Communication Pitfalls

Even great intentions can fall flat. Here’s what to avoid:

  • Don’t make 1:1s performance‑only—they should build connection.  Remember, 50/50 ratio

  • Don’t let Stand‑Up drift into a monologue. It should engage and tell you whether you're moving toward goals.  Think lead measures.

  • Don’t skip All‑Staffs during “busy” months—that’s when they’re most needed.

  • Consistency is key.

Your community doesn’t run on policies and process. It runs on conversations.
