With the Quick Parts feature in Outlook, you can store frequently used responses and with a few clicks insert them in your email. Simply select the content you want to save, click Insert from the Menu bar and click Quick Parts. Save your selection and the next time you need that content it’s there for you to quickly insert into your email by following these three steps. 1. Click Insert from the Menu bar. 2. Click Quick Parts. 3. Select
the Quick Part you want to insert.

Weekly Microsoft Training Free for All Employees As HM employees, you have access to free, weekly, online Microsoft-hosted courses. Every Tuesday from 1 -2 p.m. we cover different topics like, PowerPoint, Excel, Teams, SharePoint, Power BI, etc. Attend only the sessions that interest you. Rover Zebra Smartphone Quarterly Upgrade
All Hospitals (except HMSL): Downtime Tuesday, Aug. 3, 1 - 8 a.m.
The Rover Zebra smartphone upgrade is Tuesday, Aug. 3. 1 - 8 a.m. for all hospitals (except HMSL). This quarterly upgrade is a critical preparation for the Aug. 15 Epic Update. How to prepare – phone on, battery charged
Be sure your Zebra smartphone is turned on with the battery charged before your downtime. Otherwise your phone won’t receive the Epic Update and won’t function properly.
Your individual downtime – five to 10 minutes
Your individual downtime will last about five to 10 minutes. You can still use your phone for calls, but use Epic on workstations for documentation. After your individual downtime – pick up where you left off
Rover will drop what you have in progress during your five to 10 minutes of downtime. When you log back in, Rover will prompt you about incomplete work. You then can continue documenting where you left off. After the upgrade
Activate the Rover app. For the End User License Agreement, tap Accept. Then login with your HM user ID and password. What’s new
In addition to updating the Rover app, the upgrade includes a banner at the top of the Rover login screen on your Zebra phone and in Epic on a workstation. For more information and tip sheets, visit it.houstonmethodist.org/rover.

New Imaging Platform to Integrate with Epic
Effective Tuesday, Aug. 3
Training Available NowOn Tuesday, Aug. 3, HM’s cardiology and radiology imaging library service will change to Ambra Imaging, a cloud-based image management system that integrates with Epic. Required online training will be assigned for current LifeImage users, with courses now available in LMS. With Ambra, you can quickly upload images from patient CDs, external imaging services and non-HM providers. You can also easily share images electronically with referring providers through the Ambra gateway. Eventually, Ambra will replace LifeImage.
For Pharmacists, Pharmacy Techs and Buyers
HMH Pharmacy Inventory Management Launches Tuesday, Sept. 14
Online Training, Aug. 30 - Sept. 10 Pharmacy Inventory Management launches at HMH on Tuesday, Sept. 14 for pharmacists, pharmacy techs and buyers. This new system provides efficiencies for drug inventory procurement and management by increasing inventory visibility, accurately charging for high-cost medications and minimizing drug shortages and obsolete stock. Required LMS training – Friday, Sept. 10
Required LMS online training has been assigned to pharmacists and pharmacy techs. Online training takes place Aug. 30 - Sept. 10. Instructor-led courses for buyers are in LMS now (Epic Willow Pharmacy Inventory Training for Buyers – course #159033). Benefits: The system increases inventory visibility to 95% or higher, helping us ensure all high-demand medications are available at all times. This will save HM an estimated $18.9 million per year. How it works: Pharmacy Inventory Management automatically adds any received medications, and deducts any used medications
systemwide via any of the HM automated dispensing mechanism, including dispensing cabinet/Pyxis, IV Workflow/DoseEdge, dispensing carousels and others.

Solarity Automated Fax and Scanning: Launch Postponed for HMH, HMCL and HMB The Solarity Automated Fax and Scanning launches for HMH, HMCL and HMB are postponed due to the COVID-19 surge and the risk it poses for training, as HM is once again needing to limit in-person meetings.

Register for Classroom Training Now
IV pump integration with Epic launches at HMH Monday, Sept. 27 through Tuesday, Oct. 5. To prepare, nurses have been assigned training in LMS but must register for classroom training as soon as possible to reserve a seat. Classroom training is Aug. 9 to Sept. 24. To register, search LMS for your appropriate Epic IV Pump Integration training course and select a session. Classroom size is limited, and each course is two hours. - Critical Care/ICU Departments – Course ID 1594004

Review Changes in Your
Update Companion
To prepare for the Aug. 15 Epic Update, be sure to review your Update Companion for changes for your role. A section at the top highlights the most important changes for your role. The review process is easy. You don't need to click an acknowledge button and there are several places to find your Companion. Press F1 on your keyboard while logged in to Epic to get to the Learning Home or visit it.houstonmethodist.org/epicupdate/. Remember to review your Companion before Aug. 15 so you're prepared. Reminders - Staff with multiple roles may have more than one Learning Home and Companion. Be sure to review all the appropriate material for your
roles.
- Press F1 on your keyboard while logged in to Epic to get to the Learning Home. Note: the Update Companion banner disappears after you click the Close button. To review a Companion again, after you close the window or to view Companions for other roles, visit it.houstonmethodist.org/epicupdate/.

To help you communicate with your team, role-specific materials are available for you to share during meetings, huddles and rounding. In addition, encourage staff to review their full Companion and follow the guided activities in the Epic Playground. New COVID-19 Vaccine Series Completed Column
in Patient List There’s a new COVID Vaccine Series Completed column available for Patient List to help you quickly identify if a patient has completed their COVID-19 vaccine series at least 14 days prior or more. Note: A completed series means two doses of the Pfizer or Moderna vaccine or one dose of the Johnson & Johnson vaccine. - To access, search for the column when in Properties of your Patient List.
- The column on the right will display.
- Green: Patient has completed the COVID-19 vaccine series at least 14 days prior.
- Red: Patient hasn’t completed the COVID-19 vaccine series within the last 14 days.
For New Hire Managers and Epic Users
New LMS Course: Epic CAD201 Gatekeeper LiteA new course in LMS is available for individuals needing advanced scheduling access in Epic (New Hire CAD201 Gatekeeper Lite – course #1594009). This short course includes a quiz that must be passed at 100%. There is no limit to the number of times you can take the quiz. Specific functions covered include: - Override held time
- Super overbook
- Edit EOD status
- Override session limits
Prerequisites for this course: - PO: CAD101, 102, 103 and CAD300.
- Hospital outpatient registration and scheduling: CAD300 and CAD400.
- Ambulatory: AMB200 (for staff with clinical background).
If you only need the specific functions offered in CAD201 Gatekeeper Lite, you can take this course instead of CAD200 Template Build. Note: CAD201 won't give you access to edit a template. If you need to create/edit
templates, the CAD200 Template Build is still required.
For Rover Users
New Phlebotomy Collection Filter
Effective Now Rover now has two new tabs for phlebotomy tasks, Phlebotomy Collect and Labs. When you need to draw these specimens, you can use these tabs. All nurses will see the Phlebotomy Collect filter, but you don’t need to use it if your hospital doesn’t have phlebotomists.

Interpreter Used Question Added to DNR and
Modified Code Orders When a patient’s chart is marked as needing an interpreter, DNR and Modified Code orders now include a question to confirm whether an interpreter was used.

Clinitron Bed Order Replaced with Air Fluidized
Therapy Bed Order
Effective Today Starting today, the Clinitron bed order will be replaced with the Air Fluidized Therapy Bed order in Epic. This will help standardize terminology and reflect our current, available hospital support surfaces.
For All Epic Users and Everyone at HMB
HMSJ Department References Officially Change to HMB
Effective Sunday, Aug. 15On Sunday, Aug. 15, department references to HMSJ, e.g., Epic department name, acronym, workqueue lists, reporting and census logs and cost centers will change to HMB. This is to align with the official hospital name. Note: because HMB falls alphabetically before HMSJ, look for HMB higher up in places like drop-down boxes, menus and catalogues.
