Good afternoon.

Tim Ferriss once said, "A person's success in life can usually be measured by the number of uncomfortable conversations he or she is willing to have." That hits home.

Navigating tough conversations is a significant part of leadership.  These discussions are crucial to address performance issues, miscommunications, or unmet expectations.  But how do we approach them without triggering defensiveness or conflict?

Alex Hormozi offers a compelling framework in his podcast episode, "The 5 Reasons Your Team Isn't Following Through".  He introduces the STAR system—a structured approach to dissecting and addressing performance gaps.

Elevate your Leadership

The star system explains the five reasons (five points of the star) someone might not follow through.  If someone isn't meeting expectations, you can tie the misalignment back to one of these five reasons.  Sounds simple, but it's true.

Use this framework to prevent misunderstanding when setting expectations and providing guidance, and also to address underperformance in the moment:

  1. They Didn't Know What to Do
Clarity is paramount.  Vague instructions like "handle the project" can lead to confusion.  Instead, specify: "Please prepare the monthly report, including sales figures and client feedback."

  2. They Didn't Know How to Do It
Assuming someone knows how to execute a task can be a misstep.  Ensure they have the necessary training or resources.  If not, provide guidance or mentorship.

  3. They Didn't Know When It Was Due
Deadlines drive action.  Without a clear timeline, tasks can fall by the wayside.  Be explicit: "I need this by Friday at 3 PM."

  4. They Didn't Think It Was Important
Understanding the 'why' behind a task fosters commitment.  Explain the significance: "This report influences our quarterly strategy."

  5. They Encountered Obstacles
Sometimes, external factors hinder progress.  Maybe they lacked access to necessary data or faced unforeseen challenges.  Open a dialogue: "Were there any challenges that prevented completion?"

By addressing these areas, we shift the conversation from blame to collaboration.  It's not about pointing fingers but understanding and supporting our team.

Action Steps:

  • Audit Your Communication: Before assigning tasks, ensure clarity in the 'what,' 'how,' and 'when.'

  • Foster Open Dialogue: Encourage team members to voice uncertainties or obstacles.

  • Reiterate Importance: Regularly connect tasks to the broader mission to instill purpose.

Embracing these conversations, as Ferriss suggests, enhances our leadership effectiveness and the quality of our team's output.

Let's lead with clarity and compassion.
