COVID-19 Vaccine Booster Documentation in MyChart
Patients receiving a third COVID-19 vaccine dose can find the immunization record in one of two places in MyChart, depending on why they’re receiving the vaccine. Patients with diagnoses qualifying them for the third Pfizer dose can find this information under My Record in the COVID-19 section. Note: If a patient meets immunocompromised criteria but hasn’t yet received the booster, the COVID-19 section will note this.
Patients whose doctors prescribed the booster, but who aren’t immunocompromised, can see this information in the Immunizations section. This differentiation will remain until the FDA dosing criteria change.

New Epic Visitation Restriction Workflow Enhancements Earlier this month, new visitation guidelines were implemented to align with the new state law. Currently, we’ve identified: - 95% of providers are writing Disaster Visitation Restriction orders.
- 98% of ED registration and IP nursing staff are entering restricted visitor contact information.
- 70% of providers are providing daily documentation via the
SmartForm.
- Note: These text message updates are both a legal requirement and a patient/family communication satisfier.
- 100% of the families who’ve received our text updates have read them.
To help make this process easier for you, we’ve made the following enhancements to your Epic visitation restriction workflow. You can now: - See which patients have a visitation restriction order by adding a
Visitation Restricted column to your Patient Lists.
- Quickly see a list of your patient’s restricted visitors and who’s receiving daily text/email updates by:
- Adding the Visit Contact Info column to your Patient Lists.
- Accessing visitor contact information via the following:
- The Disaster Visitation Restriction (DVR) order BPA.
- Your Admission navigator.
- Your Daily Communication for Disaster Visitation Restriction navigator.
- To see screenshots, review the tip sheet.
- Easily access the SmartForm to document daily communications to all the patient’s restricted visitors. Reminder: You must complete the SmartForm in Epic to facilitate daily communication. The SmartForm can now be
accessed:
- Directly through Storyboard in Epic.
- By clicking the Daily Update for Visit Contact? column.

Caregility Upgrade for MyChart Video Visits
Effective Monday, Oct. 4 On Monday, Oct. 4, Caregility, our platform for video visits through MyChart, will be updated for our patients and to help you conduct these visits more efficiently. Your current workflows remain the same, but you’ll notice new features and a new look for your video visits. New features and enhancements include: - Faster video session launch set-up.
- Improved session quality.
- More control over your video visit sessions.
- Upload a virtual background.
- Use Stratus to invite an interpreter to the visit, when needed.
- Chat with patients privately.

For Apple Device Owners
iPhone 6 or Older Not Supported, Blocked from Accessing HM Data
Effective Immediately Be sure to update all your Apple devices with the latest release so you can continue to have access to HM data. With the official release of Apple iOS 15, models prior to iPhone 6 will no longer be supported or have access to HM data in the coming months. Keeping your devices on the most up-to-date operating system also fixes known bugs and security vulnerabilities and offers new enhancements. HMWB Specimen Scanning Launch: Monday, Oct. 18
Complete Required Training by Friday, Oct. 15 Specimen Scanning launches at HMWB on Monday, Oct. 18 for nurses, PCAs, techs, lab staff, paramedics and respiratory therapists. Required LMS online training has been assigned to all impacted staff (Epic Lab Specimen Collection & Barcode Scanning for Clinical Staff, course #1582031). Please complete this training by Friday, Oct. 15. Road shows – Monday to Friday (no weekends) Sept. 27 to Friday, Oct. 15
Road shows featuring live demonstrations will take place Monday, Sept. 27 to Friday, Oct. 15 (no weekends) for day and night shifts. Review Changes in Your Update Companion
The next Epic Update is Sunday, Oct. 24. This Update includes new features and enhancements, like a replacement for the Rothman illness-severity index, a new Behavioral Health module in Epic, changes to Secure Chat and Epic department names changing from HMSJ to HMB.
To learn about changes for your role, view your Update Companion in the Learning Home (press F1 while in Epic) or visit it.houstonmethodist.org/epicupdate. Reminders - Staff with multiple roles may have more than one Learning Home and Update Companion. Be sure to review all the
appropriate material for your roles.
- If you clicked the Close button on the Update Companion banner in the Learning Home, the banner will not reappear. To review an Update Companion again after you close the window, or to view Update Companions for other roles, visit it.houstonmethodist.org/epicupdate/.
- Use the guided activities in your Update Companion to experience and practice new workflows in the Epic Playground.
