Administrator - Full-Time £14.36 an hour School of Arts / Centre for Iberian and Latin American Visual Studies
The post holder will work within a team with other Administrators in the School, in fulfilling the following duties:
- Contributing to the production, updating, maintenance and distribution of publicity materials (such as Prospectus, website) and standard documentation for students and staff (such as handbooks, forms, publicity material, newsletters) be they in paper form, on websites or other formats.
- Ensuring
that logistical arrangements for teaching and related events (e.g. induction, dissertation, study skills etc.) are in place as required for the particular programme or other School/Department activity (e.g. accommodation, catering, technical support, access etc.).
- Providing administrative support to members of the School Executive, Programme Directors, Research Centre Directors etc., as required e.g. organising seminars and conferences.
- Processing and maintaining financial records (of purchase orders,
invoices, claim forms etc.) as directed by line manager and in accordance with College procedures.
- Maintaining and reporting on accurate records (student, staff, financial etc.) in various forms as directed by line manager and in accordance with College policies.
- Service formal committees, exam and award boards, staff; student exchange meetings etc. as required.
- Providing administrative support for staff submitting proposals for research or third stream funding, as required.
- Responding to enquiries from academic and administrative colleagues and external organisations, in a professional and customer-focussed manner.
- Attending and participating in relevant training and meetings as required.
The above list of duties is not exhaustive and is subject to change. The post holder may be required to undertake other duties within the scope and grading of this post.
PERSON SPECIFICATION
- Good knowledge and understanding of administrative systems and office work
- Commitment to and able to demonstrate knowledge of equal opportunity issues
- Good IT skills, including MS
Office, Word and Excel and database packages.
- Accurate keyboard and data entry skills.
- Numerate
- Well-developed organisation skills
- Good interpersonal skills, with the ability to work flexibly as part of a team

- Willing to work as part of a team to deliver high quality administrative support to students and staff

FURTHER INFORMATION
Salary: Payment is based on an hourly rate depending on length of continuous service with the College (starting rate £14.36 per hour inclusive of pro-rata London Allowance and holiday pay) for contact hours worked across the year. This hourly rate is based on the starting point of Grade 4.

Probation period: 6 months
Duration of post: Fixed-Term 8 months
