Good afternoon. Anticipating a visit from your regional Director of Operations, Vice President, or corporate partner can often bring a sense of anxiety.  However, with strategic planning and proactive engagement, these visits can transform into opportunities for growth and alignment, as well as an opportunity to showcase your leadership and stand out positively.

Here's how to alleviate that anxiety and ensure each visit is productive and stress-free.

Elevate Your Leadership

1. Schedule a 10-Minute Pre-Visit Huddle

Arrange a brief meeting with the visiting partner two weeks before the visit. Use this time to inquire about:

  • Their primary objectives for the visit
  • Specific areas they wish to focus on
  • Any particular preparations they expect

This proactive approach clarifies expectations and demonstrates your commitment to a successful visit.

2. Propose and Share an Agenda in Advance

Draft a proposed agenda and send it 2-3 business days before the visit. This ensures that both parties are aligned and allows for any adjustments. Consider including:

  • Guided Tour: Personally escort them through key areas of the community.
  • 1:1 Meetings: Facilitate discussions between the visitor and high-potential employees or leaders.
  • Focused Discussions: Address community development, operational challenges, and your personal leadership goals for the upcoming year.

You position yourself as a strategic leader by taking the initiative to set the agenda.

3. Assign a Note-Taker for Key Conversations

Designate a team member to document key points during meetings. This practice ensures:

  • Accurate recording of decisions and action items
  • Clear assignment of responsibilities
  • A reliable reference for future follow-ups

Adequate documentation prevents misunderstandings and keeps everyone accountable.

4. Send a High-Level Recap Post-Visit

Within 48 hours, provide a concise summary of the visit, highlighting:

  • Decisions made
  • Next steps with assigned owners
  • Timelines for deliverables

This follow-up reinforces your commitment to action and ensures ongoing alignment.

5. Maintain Ongoing Communication

Regularly update your regional DO, VP, or corporate partner on progress related to discussed initiatives. This continuous engagement:

  • Keeps them informed
  • Demonstrates your dedication to agreed-upon goals
  • Builds a stronger professional relationship

Consistent communication fosters trust and showcases your leadership capabilities.

Additional Tactics for a Successful Visit

Incorporating insights from industry best practices can further enhance the effectiveness of these visits:

  • Engage Residents and Staff: Introduce the visiting partner to residents and staff members. This showcases the community's culture and provides a holistic view of daily operations.

  • Highlight Achievements and Challenges: Prepare a balanced presentation that celebrates successes and openly discusses areas needing improvement. This transparency fosters collaborative problem-solving.

  • Solicit Feedback: Encourage the visiting partner to share their observations and suggestions. This demonstrates your openness to external perspectives and your commitment to continuous improvement.

By implementing these strategies, you will alleviate the stress associated with corporate visits and position yourself and your community for continued success.

Do you have a visit on the horizon? Begin with step one today and transform potential anxiety into a structured plan for excellence.

Partners We Love

Together with TapestryHealth

There are opinions, and there are opinions. If your mail carrier tells you about a great tool every SNF should use, who cares? But if the CEO of a major group of highly respected SNFs tells you that he found a product worth using, that’s an opinion you might want to listen to. And that’s one of the things we love about TapestryHealth. They have testimonials from scores of clients that range from floor nurses to senior executives and everyone in between. And no matter what their responsibility on the job is, everyone has their own reason for loving Tapestry, something that makes their specific jobs easier to perform well.

Ben Cohen, CEO of August Healthcare, is a perfect example. They added Tapestry to their facilities because of its proven ability to provide far greater insights into their patients’ conditions and needs than they ever had before. But don’t take our word. Click here and listen directly to Ben Cohen tell you why it’s “almost reckless not to have” what TapestryHealth offers. You can also visit TapestryHealth.com to hear more testimonials.
