Nothing on the DDD Term 4 Promotion report looks different this week. But while the report hasn’t changed, the data within it has.
Machine learning is only ever as good as the information you feed it. Until the end of June, this report was working from Term 1 data alone — an early signal, and a useful one, but based on a single term with nothing to measure itself against.
Term 2’s marks are now in and settled, which means the report is drawing on twice the evidence it had since you last opened it. Same report, but with a sharper (and in some cases, different) answer.
Here’s where to start:
1. Re-sort, don’t just re-read:
Open the Term 4 Promotion report, scroll to the table at the bottom, expand your circuit or cluster and sort “Forecast vs PY” ascending. If you built a "watch list" in June, put the two side by side.
2. Watch the movers, not just the bottom:
A school sitting at the bottom of both lists, is one you already knew about. A school that has dropped ten places between June and now is telling you something a single ranking can’t.
3. Then check who’s missing:
A high count of learners with no forecast isn’t a group of learners without a trajectory — it’s a records problem. If your “Other” numbers look wrong, speak to your EMIS official.
Eight weeks left, and the numbers have caught up with you.

Three buckets. It sounds simple, but for Eastern Cape Chief Education Specialist Ernest Loggenberg, this system has become the foundation of better decision-making in schools.
His Three-Bucket System includes weekly data extraction, regular database backups and monthly submissions, to ensure that schools work with reliable information. Combined with the DDD Dashboard, it helps identify struggling learners, strengthen teaching strategies and guide timely interventions before small challenges become bigger ones.
For Ernest, however, the dashboard is about more than reports.
