NEW: 2024-25 Annual Review

It’s that time again to start planning for the Annual Review!

The Annual Review (previously known as Site Review and Reporting Process or SRRP) is the structured reporting process and opportunity for Medical Staff Associations (MSAs), health authorities (HAs), and the Specialist Services Committee Facility Engagement Working Group (SSC FEWG) to review progress made in support of the Memorandum of Understanding (MOU) and FE objectives. The activities associated with the review are designed to create opportunities for FE participants to reflect on the effectiveness of MSA strategies and plan activities for the year ahead, and for the FE Initiative to learn from each MSAs’ experiences.

To ensure ongoing improvement and to incorporate your feedback on the AR process, we have implemented a few small changes.

What’s changing in this year’s process?

  1. Simplified instructions embedded in the online form for additional clarity.
  2. Additional questions on facilitated discussion participation and progress made on previous year’s feedback letter recommendations.
  3. Moving away from the After Action Review format for the facilitated discussion.

We'll be holding a webinar for MSA administrators to learn about the Annual Review activities and ask questions. Invitations to register for the webinar will be emailed to all MSAs, along with the Annual Review instructions packages, by the end of October.  Early bird webinar registration is available here.

If you have any questions, please contact engagement@doctorsofbc.ca.

TIP: FEMS Tip of the Month

This month we highlight the importance of categorization of expenses in FEMS, and how MSA administrators can help ensure that reporting is accurate and complete.

  1. All administrator invoices for monthly time should be coded to the IOE-Administrator and Contractor expense option.
  2. Other IOE costs should be coded to the most relevant choice.  For example, accounting costs should go to IOE-Professional and e-transfer or VoPay costs to IOE-Banking and Transactional Fees. Any expenses that are office supply related, such as printing, paper, pens, coffee service, lounge services and food, etc., should be coded to the IOE-MSA Supplies and Physician Lounge Expenses.
  3. External Consultants should only be used for costs associated with hiring a consultant for a specific set of deliverables for a project, such as a governance consultant.
  4.  Communications is the expense category to use for things such as website and newsletter costs.
  5. Finally, please refer to last month's E-News edition for an overview of how the Meals options should be used.

If you would like to re-classify existing claims for the 2024-25 fiscal year that may have been inadvertently added to an incorrect category, please reach out to us with the claim number and the category that you would like to move the cost to.

If you have any questions, please contact femssupport@doctorsofbc.ca.
