This email is being sent to faculty and staff with advisor access in Workday Student. 

Today’s the day: Workday Student is live! When you log in to Workday, you now have access to advising-related functionality in addition to human resources and finance tasks you may already use, like managing benefits or submitting expenses. 

Workday is now the university’s official system for advising and student information, including academic records. You may still have access to other systems, including WebAdvising; however, you should consider Workday the source of truth for student information. Use Workday to make and view advising notes and to lift registration holds (authorize registration), if required by your school. 

 

⚠️ Under Construction: Student & Academic Data in Workday 

Now that Workday Student is live, there is additional data cleanup and migration work that must be done as part of the transition from our legacy student information systems (WebSTAC, WebAdvising, etc.) Over the next few weeks, we will work with the Office of the University Registrar, school registrar offices, and others to perform this work. Our priority is data critical to registration in April and registration planning in March. 

The main areas for cleanup will be student records, in particular academic requirements, progress and overrides, as well as advisor assignments (cohorts).

If you have any questions or concerns about data accuracy, you may submit a help ticket; however, we ask for your patience over the coming weeks as we complete this critical work. 

 

Initial Tasks & Tips 

Get started in Workday Student with the following tasks and tips.

1. Explore your advisor dashboard, your home for advising in Workday. 

2. Begin making advising notes.

  • Create notes in Workday, rather than in other systems.
  • Review guidance from the Office of the Provost on advising notes.
  • Notes taken before Jan. 2 in BASe, DBBS database, and CCTools are now available in Workday. Notes taken Jan. 2-Feb. 16 will be in Workday by Feb. 28. 

  • Shared notes in WebAdvising as of Jan. 29, 2025, are now in Workday. Shared notes from Jan. 30-Feb. 16 will be in Workday by Feb. 28.  

3. Personalize your Settings 

  • Configure search so student records show up first.  
  • Customize your apps so the Advisor Dashboard shows up first. 
  • Create filters to organize and separate your advising-related tasks from other tasks (i.e., as an employee, manager, etc.) Watch the video for a walkthrough. 
  • Edit notification preferences to ensure you get desired emails. Make sure the Custom Business Processes option is not muted.

  • View the Advisor Training reference guide; consider it your digital cheat sheet.

  • Refer to the email you received last week for email templates and flyers you can share with your students to help get started with Workday Student.
