August 2023

The monthly E-News shares provincial program information and updates about the Facility and Community Engagement program. This information will be of interest to Medical Staff Association (MSA) support teams, but please feel free to forward the newsletter to your MSA executives as well.

FYI: FE Knowledge Sharing Website

The new, searchable FE Knowledge Sharing website is home to a growing collection of adaptable engagement strategies and ideas shared by MSAs from across BC. It's also an opportunity to share and showcase your good work!

Thank you to all who have contributed so far. Keep your ideas coming, and check out the website for regular updates.

Congrats to those who entered the Knowledge Sharing website contest and gave feedback. The winners (randomly drawn) are: Kimberly from Salt Spring Island, Jennifer from Campbell River, Eliza from Richmond, Kirsty from Penticton and Annapurna from Vancouver. (Winners will be contacted directly to receive prizes.)

REMINDER: FCE Financial Reporting Deadline

PAST DUE ACTION: Financial reporting deadline: July 31, 2023.

MSA physician societies are required to reconcile their financials quarterly at minimum to ensure accurate financial reporting and budgeting. This also ensures that the FCE program has accurate information on program spending.

Physician societies only are requested to provide the following documents within 30 days of the end of each quarter.

  • Balance sheet.
  • Income statement from your accounting software*.

*If you are using QuickBooks, the external financial system report is called the Profit and Loss Report and for Sage users it is called the Balanced Income Statement.

  • Please send the above documents to engagement@doctorsofbc.ca ASAP
  • For additional reconciliation support, please refer to the Facility Engagement website.

If you are unable to meet the deadline or require further support, please contact engagement@doctorsofbc.ca.

TIP: FEMS Tricks

Every month, we will feature a timely update on how to use FEMS to your best advantage.

As we approach the end of summer, this seems like a good time to refresh everyone on what the different types of claims mean in FEMS.

  • Physician Claims
    • A sessional claim is for any medical staff attending a facility engagement activity.

This amount is gross (i.e., it’s not taxed.) However, the physician can declare these amounts to their bookkeeper to pay taxes.
  • Director Claims
    • A governance claim is for any director of a PHYSICIAN SOCIETY to attend a facility engagement governance activity (i.e., an MSA executive meeting, a working group meeting, etc.) This is a net amount because it is taxed. The governance toggle must be turned on in the activity for which the claim is being placed against. It is signified by the purple G.

  • Expense Claims
    • An expense claim is for any expense (furniture, coffee, etc.) paid by a claimant with his/her personal money/credit card. This is a gross amount that is refunded to the claimant via their method of payment choice in FEMS.

  • Supplier Claims
    • A supplier claim is for any consultant, contractor, or MSA credit card expense. This is a gross amount that is fully paid back to the consultant or contractor. It is signified by the red S.

TIP: PM Helpdesk Lunch and Learn Library

The FCE provincial office, in conjunction with the PM Helpdesk Consultant, Erica Kjekstad, have created a library document of all of the past lunch and learn sessions from 2021 and 2022.

The 2023 library document is now live and will continue to be updated each month with current information.

Did you know...? The sandwich was invented in August of 1762 when the Earl of Sandwich (yes, that’s a real guy) requested two pieces of bread with meat inside.
