Reminder: New Process - Contractor Invoicing  

Just a friendly reminder that, as detailed in last month's e-News, we've implemented a new invoicing process for all MSA contractors. To support you during this transition, the Facility Engagement team has created a comprehensive best practices document and an easy-to-use invoicing template. These resources will streamline the recording of your activities under your contract.

Additionally, on March 26, we sent a summary email with a helpful FAQ on contractor invoicing. For those who may have missed it, please check the "In case you missed it" section at the bottom of this newsletter for all the essential information.

We truly appreciate your continued partnership as we enhance the transparency and accountability of FE program funds.

REMINDER: Financial Year-End Dates and Deadlines

**Important Dates and Actions for Fiscal Year Reporting**  

**ACTION: April 30, 2026**  
As we move into the new fiscal year, please ensure that the following documents are submitted by Thursday, April 30:  

• Physician societies are required to provide their latest society filings to the BC registrar, along with their current directors' insurance.  
• All MSAs should submit any updates related to workplace harassment and bullying, privacy, and conflict of interest policies that took place during the 2025-26 fiscal year.  
• Additionally, claims for the previous fiscal year can be entered into FEMS between April 1st and April 30th. Kindly ensure all claims and expenses with activity dates tied to the 2025-26 budget are entered before midnight on April 30.  

**ACTION: May 1, 2026**  
Please note that engagement activities from the previous fiscal year will conclude, and eligible claims from the 2025-26 fiscal year will contribute to the new 2026-27 fiscal year budget.  

**ACTION: June 1, 2026**  
Don’t forget! The deadline for physician societies to submit their year-end financial statements for the 2025-26 fiscal year is Monday, June 1. For gated funding requests to be processed, timely submissions are essential.

2025-26 Annual Review Submission Intake and Feedback

The intake period for submitting annual review reports is now open between March 31 and April 30. Your thoughtful insights and thorough documentation make a significant impact and give us the chance to showcase progress, learn from your experiences, and shape a vision for future engagement opportunities. Timely submission ensures everyone’s efforts are reflected in our regional and provincial analysis.

Thank you all for your dedication and hard work throughout the year. Your commitment to engagement is truly appreciated, and we are grateful for the energy and effort you bring to our shared mission. 

WE WELCOME YOUR FEEDBACK: After your group has submitted your report, please take 2-5 minutes to complete the Annual Review feedback survey (please feel free to share the link with your group). Your feedback will help inform enhancements for next year.

FE Initiative Evaluation Survey - Closed   

From Wednesday, February 25 to Wednesday, March 18th, Facility Engagement administered an evaluation survey for medical staff and health authority partners as part of the provincial evaluation of the FE Initiative. The survey is now closed, and we thank you for helping encourage participation at your local MSAs.

We are pleased to announce that we set a new FE record, with over 1,500 responses across the province. The survey measures FE's outcomes and impacts, and the aggregate results will support ongoing learning and improvement opportunities for the FE Initiative, as well as communicate the initiative's impacts to partners at the facility, health authority, and provincial levels. 

Over the coming months, results will be analyzed and rolled up along with other data findings in the interim evaluation report for FE. Furthermore, MSAs will be able to view their local-level survey data upon request for MSAs with at least 5 survey responses. You can make requests through your local Engagement Partner. Knowledge Sharing Updates

Learn how cross-disciplinary teamwork and collaborative leadership at Burnaby Hospital improved access to elective total hip and knee surgery. By bringing together surgeons, health authority partners, and medical staff leaders, teams identified barriers in surgical pathways and implemented practical changes to improve coordination and flow. This work is spreading across Fraser Health hospitals, improving patient care, system efficiencies, and per capita costs.

FEMS Tip of the Month

This month, we shift our focus toward facilitating a seamless transition into the 2026-27 fiscal year and ensuring a smooth conclusion for the 2025-26 year at the end of April.

1. We are pleased to announce that all MSAs have received their 2026-27 budget allocations in FEMS! We want to encourage you to start entering both new and returning engagement activities and to assign budgets accordingly.
2. April is our accrual month, allowing us to keep the budgets from the recently concluded fiscal year open. This is a fantastic opportunity to capture any claims not submitted before the March 31 deadline. During this critical period, please pay close attention to each claim's date and engagement activity. It’s essential to allocate these correctly to the relevant fiscal budget. For instance, claims from before March 31 should reflect dates and activities from the 2025-26 fiscal year, whereas activities from April 1 onward should pertain to the 2026-27 fiscal year.
3. Please note that on April 30 at midnight, all engagement activities for 2025-26 will automatically close in FEMS. Any claims that are not entered and approved and occurred before March 31 will need to be submitted under the 2026-27 activities and budget.
4. Finally, the accrual period presents an excellent opportunity to review any claims currently in the payment queue, initiated payment, payment problem, or information required status. Ensuring these claims are completed before April 30 will help guarantee their payments are accurately reflected in the correct fiscal year.

PM Helpdesk Lunch and Learn Library

We’re excited that the FE provincial office and PM Helpdesk Consultant Erica Kjekstad have developed a comprehensive library document featuring all MSA Lunch and Learn sessions from 2022 through 2026. The links are on the e-News and Lunch and Learns tab on the FE website.

The April session is scheduled for Tuesday, April 14, 12-1 pm. Please keep an eye out for the calendar invitation in the coming days.
