The monthly E-News shares provincial program information and updates about the Facility Engagement (FE) Initiative. This information will be of interest to Medical Staff Association (MSA) support teams, so please feel free to forward the newsletter to your MSA executives as needed. 

 
 

FE Financial Reporting Deadline

REMINDER: Financial reporting deadline: October 31, 2022.

MSA physician societies are required to reconcile their financials quarterly at minimum to ensure accurate financial reporting and budgeting. This also ensures that the FE program has accurate information on program spending. 

Physician societies only are requested to provide the following documents within 30 days of the end of each quarter.

  • Balance sheet.
  • Income statement from your accounting software*.  

*If you are using QuickBooks, the external financial system report is called the Profit and Loss Report and for Sage users it is called the Balanced Income Statement.

  • Please send the above documents to engagement@doctorsofbc.ca ASAP
  • For additional reconciliation support, please refer to the Facility Engagement website.

Peer to Peer Knowledge Sharing Session Recording

On October 11th, Facility Engagement hosted a Knowledge Sharing event and dialogue session to discuss Cultural Safety & Humility activities happening around the province – including presentations from VPSA & VCH, Haida Gwaii Hospital and Ridge Meadows Hospital.

The session was attended by 60 participants, and showcased activities occurring around the province on topics including: Indigenous Health Rounds, education resources, Indigenous Health Patient Experience Think Tank, totem pole raising, co-naming spaces, partnership agreements, keynote speaker presentations and more. Project impacts as well as key lessons were also discussed. A few of the key lessons learned included:

  • Creating synthesized content focused on action-oriented approaches to providing culturally safe care in clinical practices
  • Being adaptable and flexible to the shift in healthcare needs and circumstances of guest speakers
  • Starting physician engagement in a manner that is safe and low barrier (e.g. Zoom meeting or at an AGM where you are expected to attend)
  • Having follow up activities that are well-focused to engage physicians further
  • Creating an environment that is supportive for Indigenous leaders and allies to feel comfortable to speak up or create other initiatives to continue that growth

Feedback from the session suggested that the majority of respondents felt that the session met the objective: to facilitate and support peer-to-peer learning and sharing among Medical Staff Associations (MSAs) on cultural safety and humility. 95% of respondents were interested in attending similar events in the future.

Physician Wellness Network Summary

On September 27th, physicians and leaders representing non-profit organizations with a role in physician wellness came together for the first Physician Wellness Network (PWN) Virtual Fall Gathering organized by the BC Physician Health Program (PHP).

The event started off with an introduction to the PWN, setting a community agreement and networking in small groups. Afterwards, there were a series of short presentations where physicians shared how they developed local physician wellness initiatives and attendees participated in small group discussions with the presenters.

Dr. Tandi Wilkinson shared the Transforming Our Work series of wellness retreats for specialist and family physicians across the Kootenay Boundary region. Dr. Firas Mansour and Dr. Ian Schokking discussed how they facilitated collaboration between Internal Medicine Specialists and Family Doctors at the University Hospital of Northern BC Prince George to improve communication and clear expectations. Dr. Fahreen Dossa and Andrew Pinfold shared how the Vancouver Physician Staff Association administered a physician wellness survey and used the data to understand the drivers of physician burnout and develop targeted department-level wellness solutions. Upcoming activities for the PWN include launching a Slack channel to communicate with each other between events and a Spring Gathering.

Introduction to FEMS and FESC Session Recording

On October 20th, the Island PMs who manage FESC sites attended a session on FESC, Enkel, and FEMS and how they intersect.

A few of the key lessons learned included: 

  • FESC is an acronym that stands for Facility Engagement Services Company. FESC functions as an umbrella company for unincorporated sites (i.e. FESC sites) for the purpose of holding funds, contracts, and liability insurance for physician executives
  • Enkel provides bookkeeping services for all FESC sites – npo@enkel.ca
  • Enkel manages the finances for all FESC sites; from arranging for payments to suppliers, PMs, and consultants, to monthly financial statements, and for gated funding transfers
  • FEMS is a proprietary software developed by Bayleaf exclusively for Facility Engagement. FEMS functions as the payment system for all sites, both FESC and Incorporated Physician Societies.
  •  Physicians are paid via one of our payment processing systems – VoPay or VersaPay. FESC PMs are paid via Dext, which is an accounts payable system run by Enkel. FESC Suppliers are paid via Plooto, which is the payment processor run by Enkel.
  • FEMS system management is run by the FEMS IT team, with assistance from the Operations Team – the main email for FEMS inquiries is femssupport@doctorsofbc.ca

Upcoming MSA Administrator Lunch and Learn

In our last Lunch and Learn of 2022, we’ll learn how sites make their AGMs special events, cover some key points about assessing project proposals, and talk about ways to give feedback to physician leads. 

We’ll also touch on your SRRP To Dos.  It will be a jam-packed hour – hope to see you online 12-1 pm on Tuesday, November 22!

PM Helpdesk Lunch and Learn Library

The FE provincial office, in conjunction with the PM Helpdesk Consultant, Erica Kjekstad, have created a library document of all of the past lunch and learn sessions from 2021.

The 2022 library document is now live and will continue to be updated each month with current information.  The October 2022 session on The National Day of Truth and Reconciliation, as well as Site Change Management is included.
