Re-register your provider approval

Following the recent upgrade of the National Quality Agenda (NQA) IT System, providers are urged to re-register their existing provider approval as soon as possible.

What does this mean to you as a provider?

  • You need to re-register your existing provider approval on the cloud based Public Portal.
  • You must re-register every approval you hold.  For example, if you hold three service approvals, you will need to re-register three times (once for each of those approvals).
  • Providers need to invite/add users via the ‘manage user’ function.
  • Users will receive an email invitation to recreate their accounts.

    What you need to do to gain access to the NQA IT System Public Portal 

    All education and care providers will need to sign up for an account to access the Public Portal, even if you have previously used the legacy system. Each user account will also need to be recreated. This should be a quick process and ACECQA will publish detailed instructions on how to register. Visit the NQA IT System Help Centre to find out how to link your provider accounts and how to add new users.

    What you need to do

    • check your email inbox (including your spam/junk mail) to ensure you receive communications regarding this upgrade.
    • review current users and ensure you keep a list of users to invite to the new system. 
    • locate your invoice number, as it will be required when you re-register (see FAQ below).
    • re-register your existing provider approval on the cloud based Public Portal.
    • each user account will need to be recreated.
    • user access management will need to be manually re-established for all users.   

      Frequently Asked Question - Invoice Numbers

      To link an existing provider that is in scope of the NQF, the annual invoice number will need to be entered. 

      If you have received multiple annual fee invoices, you may use any of the invoice numbers for this process. All data must be entered exactly as it appears on the invoice, including capitalisation of letters. 

      There are 2 ways to locate the invoice number, either via the:  

      1.    Annual Fee Invoice issued to the email address registered under the provider primary contact details. The subject line in this email would be 2023/2024 Annual Fee Invoice - WA PR-XXXXXXXX. 

      2.    Payment receipt sent from eWay (the payment platform) to the email registered by the person who made the payment. 

      If you are still not able to locate the invoice number, a provider’s registered PMC (Persons with Management or Control) can contact ECRU to request the invoice number.  

      Contacting the Regulatory Authority

      • For further information on the NQA IT System, please visit ACECQA.
      • Temporary permission was granted for providers to directly email notifications to ECRU until 8 April 2024.
      • This date has now expired, and providers must re-register.
