Message from the Co-lead, Graduate Researcher Transition Project Manager

Dear All,

We are getting closer to day one of Adelaide University and there has been a lot of activity in the student transition space.

Transfer to Adelaide University

As contemplated in the August co-Vice Chancellor email, the Proclamation about the transfer of program enrolments to Adelaide University has now been made by the Governor of South Australia. This means that if you are a Graduate Research Student, your transfer to Adelaide University will formally occur on 1 January 2026, unless before that date you have completed all of the requirements of your program or you have submitted a thesis for examination that remains under examination as of 1 January 2026.

If you have submitted a thesis in 2025 that is still under examination as of 1 January 2026 and subsequently complete all requirements of your program prior to 24 March 2026, you will not transfer to Adelaide University and will instead be conferred from your foundation university. We strongly encourage anyone who has submitted their thesis before the end of 2025 and who wishes to be conferred from their foundation university to complete all outstanding requirements by 15 March. If the thesis you submitted in 2025 is still under examination or you have otherwise not met all your program requirements prior to 24 March 2026, you will automatically transfer to Adelaide University on that date.

Upcoming Q&A session

We will be hosting a one-hour Q&A session for Graduate Research Students in early December to answer your questions about transitioning to AU. If you'd like to submit a question ahead of time, please use this link, or you can ask a question during the session. More information on the date of the session will follow soon.

Important emails

As always please check your email regularly for updates regarding the transition to Adelaide University.  Important emails to be aware of are:

  1. On Monday, 10 November an email was sent to everyone that receives a scholarship paid by the University of Adelaide.  The email requested that you log into the new MyAdelaide and provide your bank details – link provided in email.  If you receive a scholarship and have not actioned this, please do by 1 December 2025 to ensure you receive scholarship payments in 2026
  2. Study plans and Transition Summaries were sent to all Graduate Research Students on Thursday, 13 November.  No action was required from this email but it is important you are aware of the program and school you will be transitioning to at Adelaide University.
  3. International Students will be receiving Adelaide University CoEs by email over the next couple of weeks.

Adelaide University ID Cards

From 17 November to 19 December 2025, and from 5 January 2026, onwards you will be able to collect your new Adelaide University ID Card onsite at all campuses. You will need your card to access printing and library services, buildings, and concessions in 2026.

For the following locations, you can book a time slot online to pick up your card:

  • Adelaide City Campus (East) - The Hub, Mezzanine or Playford 3-50
  • Adelaide City Campus (West) - Level 2, Jeffery Smart Builidng
  • Magill - Building B, 1-52
  • Mawson Lakes - Building C, 1-37

If you are located at Waite or Roseworthy campus, your collection window will be confirmed later this month.

The process should take about 5 minutes, and you will need your previous student ID card or a valid form of photo identification to pick up your AU ID card.

Career and Research Skills Training

CaRST Online will be shut down from 30th November 2025 to allow for your training records to be migrated into the new Graduate Research & Innovation Training (GRIT) platform, available in January 2026. All of your completed, approved development hours will count towards GRIT.

If you've completed development activities to self-record for CaRST, please ensure these are recorded in CaRST Online prior to the 30th November, or hold onto the training records and submit into the new GRIT platform in January.

You may also choose to download a copy of your training record (and CaRST completion certificate if you've already met CaRST requirements) for your own records.

Milestone completion and forms

In previous emails we advised that all forms needed to be submitted to the AGRS by 15 November.  Thank you everyone who has done this.  They will be processed ASAP.  Additionally, if you have to complete a CCSP or Major Review new forms should no longer be commenced but forms that have been started should be completed ASAP to allow for data migration.  All students with these reviews due but not started in 2025 will have their due dates extended shortly and will need to complete the Adelaide University Initial or Confirmation of Candidature review.  More information about Adelaide University progress reviews will be available shortly.

University of Adelaide Conferral and Graduation

If you have submitted your thesis and are hoping to have your degree conferred in the December or January conferrals please ensure that you apply for conferral in MyAdelaide.  The January 2026 conferral is the last conferral for eligibility to attend the final University of Adelaide graduations in March 2026.  More information is available on the Conferral Deadlines page.

Membership of Adelaide University Student Association

As an Adelaide University student, you will automatically be a member of the Adelaide University Student Association [view constitution], which provides you access to all their services. If you would like to opt-out, please email ausa@adelaide.edu.au.

Kind regards,

LabArchives is the University's secure, cloud-based electronic notebook and collaboration tool. These two systems are now integrated so notebooks, datasets, figures or other work that you've created individually or collaboratively in LabArchives can be pushed directly to Figshare for publication. Visit the University Library's new 'Publish content created in LabArchives using Figshare' self-help guide on the LabArchives support page to learn how.
