Subject: Annual Staff Performance Appraisal Program

As we approach the end of the fiscal year, this memo serves as a reminder that the deadline for the Annual Staff Performance Appraisal Program is June 30, 2022.

To prepare for the annual review, we are providing procedures that support the staff performance appraisal program. Visit the Office of Human Resources (OHR) website for various resources including toolkits and appraisal forms that are available to aid managers and staff in preparing for and holding performance appraisal discussions. Please share this information with those individuals in your area of responsibility that coordinate and conduct appraisals.

Frequency of Staff Performance Appraisal

All regular full- and part-time staff employees must receive an annual appraisal at the end of each appraisal year (July 1 – June 30). Visit the OHR website for more information regarding the frequency of the performance appraisal process.

For additional details about the Provisional Period Review process, please review University of Pittsburgh Policy and Procedure ER 11 (formerly 07-05-01).

Updates to Staff Performance Appraisal Form

Following the Shaping the Workplace initiative, the Staff Performance Appraisal Form has been updated to be more user-friendly, streamlined, and accessible. Changes include a single form for both supervisors and staff, condensed and simplified performance standards, and updated performance standard ratings for measuring employee performance.

A new performance standard, Advancing Diversity, Equity, and Inclusion, has also been added to the form to support the Plan for Pitt. Created in partnership with the Office for Equity, Diversity, and Inclusion, the new performance standard aims to further the University’s action of creating an inclusive and equitable campus environment.

Assistance and Compliance

The Office of Human Resources is available to assist you and your staff during the performance appraisal period. We can work with department supervisors on how to write clear and measurable goals, collect meaningful feedback, provide coaching throughout the year, and plan for and conduct a meaningful performance appraisal.

Responsibility Centers are asked to confirm that all staff in their area have completed an annual performance appraisal by submitting a Qualtrics survey by July 31, 2022.

For further inquiries or assistance with the staff performance appraisal cycle, please contact the Office of Human Resources by submitting a request online at www.hr.pitt.edu/contact-ohr.
