SurPASS Tip of the Month

**Update your NIH Biosketch to SciENcv before JUNE submissions**

NIH is updating its requirement for Biosketches and Other Support documents effective May 25, 2025.

  • NIH will require the use of Science Experts Network Curriculum Vitae (SciENcv) to complete the Biosketch and Other Support to produce digitally certified PDF(s) for use in application submission.
  • NIH will also require all Senior/Key Personnel to enter their ORCID ID into SciENcv in the Persistent Identifier (PID) section of the Common Forms. NIH will require all Senior/Key Personnel to link their ORCID ID to their eRA Commons Personal Profile. For information on linking an ORCID ID to the eRA Commons Personal Profile see the ORCID ID topic in the eRA Commons online help.

Starting May 25, 2025, NIH will no longer accept the current NIH Biosketch or NIH Other Support documents. The process to complete your Biosketch in SciENcv may take 2-5 hours the first time. After that, you will only need to update as necessary.

**Please reach out to Lynn Cummings, Grants Operations Coordinator, if you would like to get a head start before your next application to convert your Biosketch to the SciENcv required form!**

Clinical Research Tip of the Month

Data Use Agreements (DUAs)

A DUA is a contractual agreement that covers the transfer of non-public, restricted, data.  MCW requires a DUA when we provide data that:

  • Is HIPAA-protected or constitutes a Limited Data Set (LDS);
  • Contains Protected Health Information (PHI);
  • Was collected under a sponsored research agreement that limits disclosure of data.

When MCW is the recipient of such data, the MCW Grants and Contracts Office (GCO) defers to the providing organization regarding whether a DUA is required.

When MCW is providing the data, GCO prepares the DUA upon request of the MCW provider investigator and negotiates terms with the recipient organization. Once the terms are agreed upon, the MCW provider investigator signs the agreement and it is forwarded to GCO to obtain MCW institutional signature. DUA requests are prepared and submitted in eBridge, under the “Agreements” tab.

If you will be receiving or sharing de-identified data for human subject research, only a de-identified data agreement is required by the IRB. A template is provided and this agreement does not need to be reviewed by GCO.
