Incoming Subawards

When MCW will be included in a proposal to be submitted by another institution, we refer to that as an Incoming Subaward. This is initiated by the institution outside MCW and communicated to the PI in the Department of Surgery (DOS).

Incoming subawards are reviewed by the Grants and Contracts Office (GCO). A funding proposal should be created in eBridge as a “pass-through” by the DOS Grants Operations Coordinator.

Incoming subawards are treated in the same manner as other proposal submissions. The following is needed for GCO to review an incoming subaward:

  • Statement of Work (SOW)
  • Detailed Budget
  • Budget Justification
  • RFA for application other institution is apply for
  • Other documents as required by the other institution

GCO will review, approve documents, and create a Letter of Intent (LOI) – a signed document to create a consortium between MCW and the other institution.

All required documents plus the LOI are submitted to the other institution by the Grants Operations Coordinator.

Any questions? Contact Lynn Cummings, Grants Operations Coordinator lcumming@mcw.edu

Data Use Agreement (DUA)

A DUA is a contractual agreement that covers the transfer of non-public, restricted, data.  MCW requires a DUA when we provide data that:

  • Is HIPAA-protected or constitutes a Limited Data Set (LDS);
  • Contains Protected Health Information (PHI);
  • Was collected under a sponsored research agreement that limits disclosure of data.

When MCW is the recipient of such data, we defer to the providing organization regarding whether a DUA is required.

When MCW is providing the data, GCO prepares the DUA upon request of the MCW provider investigator and negotiates terms with the recipient organization. Once the terms are agreed upon, the MCW provider investigator signs the agreement and it is forwarded to GCO to obtain MCW institutional signature.

If you will be receiving or sharing de-identified data for human subject research, only a de-identified data agreement is required by the IRB. A template is provided and this agreement does not need to be reviewed by GCO.
