Updating Contact Information in Batch Files

It is important that the email address contained in your batch file is current and correct. The email address included in the batch file is used for several critical purposes, including: 

  • Delivering Batch Submission Response emails. 
  • Sending premium deficiency notices and other communications related to quarterly reporting.

If the email address in your batch file is outdated or incorrect, your company may not receive important notifications. To ensure that we are receiving the most updated contact information from batch filings, please review the contact information within your batch file data pull.

How to Update the Email Address:

  1. Open your batch file using a text editor or filing software.
  2. Locate the email address within the batch file in the <Insurer> </Insurer> BatchDataSet
  3. Replace the existing email address with the correct one.

Discrepancy & Data Accuracy:
Why it is important to respond

When insurers receive communication from the SLIP+ staff regarding premium discrepancies or data accuracy, timely response is critical to both compliance and efficient reporting. 

These notices are issued when differences are identified between insurer and agent/IPC reported data. Promptly reviewing and resolving discrepancies helps ensure your filings remain accurate and complete, as requested Insurers must report all surplus lines insurance transacted for risks where the applicable state is the home state of the insured. Filings should be submitted quarterly for foreign insurers and annually for alien insurers, unless otherwise specified by state-specific guidance. Failure to address these issues may result in escalation, including referral to the State of Authority. 

Beyond compliance, accurate data directly improves premium reconciliation outcomes. When discrepancies are resolved early, it reduces follow-up requests, repeat outreach, and additional review efforts from SLIP+ team. 

Timely responses and accurate reporting not only help you stay compliant, but they also streamline administrative processes and improve future interactions with our office.
