The first is that it takes around three weeks for Whānau that are not currently in Smartly to fully on-board into that system. This is largely because Whānau are required to have a full year (52 weeks) of what they have paid their Kaimahi and of Kaimahi leave balances that need to be transferred from the existing payroll system into the Smartly system. As the employer, Whānau are currently legally required to hold this information, and this allows a smooth transition into the new system with a clear sense of Kaimahi tax and annual leave liabilities. A critical aspect to this process is that every funding drop (March, July and November) will see Whānau:
Whānau must also work out what the costs of their casual Kaimahi are for the funding period (to date we have been estimating 5% of Kaupapa funding for these Kaimahi). For the July funding drop we will be reviewing the 5% contribution for the 150 Whānau that are already part of the process and will be in touch with Whānau about what level it should be set at based on actual costs. This information is critical to both ensuring that Whānau receive the full amount they are entitled to from the Crown, what they will need to fund themselves and that they meet their requirements for audit purposes. 3.
