Updated IT System Access Request Forms and New Process for Employees
Effective NowIf you need to complete an IT System Access Request form, please use the links on the intranet (listed below) as they have been updated. With these updates, we’ve simplified some processes. - All forms can now be signed electronically, making it easier to submit requests.
- VPN access requests no longer require a VP signature. The hiring manager or delegate’s signature will suffice.
New process for Employee IT System Access Request forms only
We have also made the process easier for new and current employees: - The hiring manager or delegate completes and signs the form. New and existing employees are no longer required to sign this form.
- The Confidentiality and Information Security Agreement is no longer attached and isn't required when requesting access. It's already signed during the onboarding process and again annually.
Note: This process doesn’t apply to contractors/vendors, physicians, physician office staff or Allied Health Professionals. These applicants will still sign their requests. Updated forms are on our HM intranet site and the links are below. Please don’t save the forms to your computer. Instead use the links, ensuring you're using the most recent version.

COVID-19 Lab and Vaccine Record Sharing Through MyChart
Available NowBeginning with the Epic Update on Oct. 24, HM patients can now use a QR Code to share their COVID-19 lab results and vaccinations when requested for work, travel or entertainment purposes. This includes: A QR code that can be scanned from the patients’ device. A downloadable PDF with QR codes to your vaccination records (does not include lab results). The ability to export vaccination/testing information to other mobile health wallet applications, like Apple Health.

Scanning Documents? Try Notes App on Your PhoneNeed to send documents to someone, but you don’t have a scanner? The Notes app on your iPhone or iPad is a great tool for scanning documents. Simply open the app, click the camera icon and click Scan Documents. Position the document you are scanning into the view, and wait for your Apple device to automatically scan it. Click Save to store the document on your device. Pro Tip: After reviewing your scanned document, you can use the crop icon to further define the edges of your document, if it’s needed.

Did You Get Caught or Did You Report It?
October Phishing DrillsFor October’s Cybersecurity Awareness month, our IT Security team ran three consecutive phishing drills. These ongoing drills are planned emails made to look like real phishing scams. They help to train each of us to identify and report suspicious emails. The results are in, and, unfortunately, we still have quite a bit of work to do. The drills intentionally lured employees to click a link or open an attachment (both red flags), and each week at least 14% of us took the bait. Luckily, these are just drills, but for a real phish, just one person’s click can cause irreparable, costly damage.
Protecting our data from malicious cyberattacks is a full-time job for our IT Security team, and we use technical systems to help keep our data safe. But every employee needs to help, so please do your part and report all suspicious emails: - Desktop/laptop (preferred method): Click Report Phish – PhishAlarm button on the Outlook toolbar.
- Mobile: Tap the three dots by the sender’s name and tap the Report Phish icon.
- Webmail/Office
365: Select the email. In the preview pane, click the three dots. Scroll down and click Report Phish.

IV Pump Integration with Epic Successfully Launches at HMH
Share Your Feedback – Post-Launch SurveyOn Tuesday, Nov. 9, HMH completed its last IV Pump integration with Epic launch. Areas impacted include: Med/Surg, ICU, Women’s Services, ED/ECCs, Transplant, Infusion Therapy, BMT, Radiology, Cath Lab, Endoscopy and AOD/PACU. “This is a positive technical and clinical accomplishment for our patients and clinicians,” said Gail Vozzella, HMH senior vice president and chief nursing executive. “Thank you to everyone for your hard work and active engagement to prepare for this change.” Complete the

HMTW 6 South and HMW 5 East Earlier this month, HMWB 5 West and 7 East successfully piloted a new initiative, leveraging text and email messaging to keep our inpatients’ designated family members and loved ones updated on their conditions. On Monday, Nov. 15, HMH Fondren 12, Jones 10, HMTW 6 South and HMW 5 East will begin piloting this patient-centric initiative. HMB and HMSL are slated for pilots in early December or January 2022. Effective Monday, Nov. 15 On Monday, Nov. 15, to help streamline the COVID-19 vaccine screening process, these questions will be updated in Epic's Admission Navigator Vaccine Screening.
Depending on the patient’s response, a new patient list column will reflect their COVID-19 vaccine status with one of these options: - Unable to determine
- Vaccine received
- Offered/declined
- Offered/accepted

Care After Death Form to Match Printed Version
Effective Monday, Nov. 15On Monday, Nov. 15, the Epic Care After Death Record (Patient Expiration) form will be updated to match the language on the current printed form. This will also ensure consistent quality of documentation.

Troponin T [LAB6032] Replaces Troponin [LAB747]
Effective 10 a.m. Wednesday, Nov. 17At 10 a.m. Wednesday, Nov. 17, HM laboratories will change from our current Troponin I test to a high-sensitivity Troponin T test. This change is required due to the withdrawal from the market of Troponin I tests by Siemens, its manufacturer. The new Roche Troponin T test was the first FDA-approved high-sensitivity-troponin method, for use in the U.S. and there is abundant literature on the clinical performance of high sensitivity troponin assays. High sensitivity troponin assays are considered the standard of care by chest pain center accrediting agencies. Note: Troponin T results will be reported in units of ng/L, instead
of the current units for Troponin I, which are ng/mL. (ng/L = 1000 X ng/mL). HM Emergency Care Centers will continue using the Troponin, I-STAT [POC164] test on iSTAT instruments.
