Prepare for the End of Daylight Saving Time (DST)
2 a.m. Sunday, Nov. 7At 2 a.m. Sunday, Nov. 7, clocks are adjusting back one hour due to the end of daylight saving time (DST). If you’re working during this change, follow these instructions for Epic and LaborWorkx. Epic
Epic won’t automatically correct the time and you may need to manually enter some data twice from 0100-0200 CDT (before the time change) and 0100-0200 CST (after the time change) for the repeat fall-back hour. Be sure to validate all times for accuracy as documentation, event times, some BPAs and ADT events may be impacted. LaborWorkx
Badge readers and Quick Badge will update at 2 a.m. Sunday, Nov. 7. LaborWorkx will automatically add the extra hour worked and generate an exception message stating the hours were adjusted due to DST. If you notice any problems with a badge reader, or for clocking questions, contact the IT Service Desk. For additional questions about DST clocking, contact HR Hub at 832.667.6211 or hrhub@houstonmethodist.org. For managers: - Allow
sufficient time to review timecards for employees who worked during the DST change.
- Clocking before the time change: Edit clocking by moving the time back one hour.
- Clocking after the time change: Add Override Code 6 – “Do Not Adjust Daylight Savings” to the clocking.
- Clocking between 1-2 a.m.: LaborWorkx will generate a critical exception.

IV Pump Integration with Epic Kicked Off This Week at HMHThe launch of IV pump integration with Epic is now live at the following HMH departments: ICU, Transplants, Infusion therapy (OPC 21, WP 11, WT 15 BMT, Med/Surg and Women's Services (Antepartum, L&D, NICU, OB ED). Launches continue through Tuesday, Nov. 9 at the HMH ED, satellite ECCs, Radiology, OpTime, Cath Lab (WT4 AOD and PACU) and Endoscopy departments.
If you were part of the first launch, please review the following support information and reminders. Integration exempt medications
Certain medications are exempt from IV pump integration and will require manual pump programming, including: - Investigational drugs
- PCAs
- Certain combination chemo meds
- Normal saline bolus
- Lactated ringers bolus
When attempting to enter these exempt medications, the send order details button won't appear and pump integration won't be available. You can still manually program the pump to deliver
these infusions and enter medication volumes individually, as you always have. Go-live support
If you experience issues when your unit goes-live, please report them to the IT Service Desk at 832.667.5600 or through our website at itsupport@houstonmethodist.org. When reporting an issue, be prepared to provide: - Module serial number or barcode number (should be the same)
- Medication in use
- Error code on pump (if present)
- Tower/unit location

Amazon Echo Dots Getting an Upgrade
Downtime from noon to 2 p.m. Wednesday, Nov. 9 On Wednesday, Nov. 9, the Amazon Echo Dots at HMWB are getting an upgrade from Amazon’s Alexa for Business (A4B) to Alexa for Hospitality (A4H) service. Patients may experience a brief interruption in their Amazon Echo Dots service from noon to 2 p.m. Wednesday, Nov. 9. This upgrade allows for: - Patients to select Spanish as their default language.
- An easy call option to the HM pharmacy for questions related to a
medication.
- Reminder notifications for incoming calls to a patient’s room.
- The option for Pharmacy to call into a patient’s room.
The upgrade will continue to launch systemwide in the near future.

Solarity Fax and Scanning Automation Launch: Monday, Nov. 8 The Solarity automated faxing and scanning system is launching Monday, Nov. 8 for identified SPG/PCG Departments. The new system will improve patient safety by making incoming patient information available in Epic sooner and it improves indexing accuracy.

Electronic Prior Authorization Pilot
Launching Tuesday, Nov. 9 On Tuesday, Nov. 9, the electronic prior authorization pilot will launch for all HMB and HMH inpatient units. For these areas, patient discharge medications requiring prior authorization will now be sent electronically through Epic, when orders are signed. Any payer correspondence will be managed by pharmacists through In Basket. For more information review this tip sheet.

Apple Critical iOS 15.1 − New! Last week, Apple announced an update with version 15.1. In addition to fixing some bugs, this iPhone and iPad update addresses a potentially serious security issue. It’s important that you update to the latest version as soon as possible. As a reminder, non-updated devices risk not having access to HM data and emails. Here’s how to do the update: - iPhone or iPad: Go to Settings > General > Software Update and tap Download
and Install.
- Apple Watch: From an iPhone, update the Apple Watch app, under General > Software Update.
Did you know you can set your iPhone or iPad for automatic updates? Here's how: - Go to Settings > General > Software Update.
- Tap Automatic Updates, then turn on Download iOS Updates.

How to View Patients' Epic Deterioration Index Scores
Now AvailableThe Epic Deterioration Index (EDI) is now available for early detection and intervention of at-risk patients. Every 15 minutes, the EDI updates a color-coded numerical score, which appears on providers’ and nurses’ Overview Summary Report along with the score over time and factors contributing to the score. Epic monitor boards also display the score with a 24-hour sparkline. Nurses can also view the EDI score on their Brain activity. To add the Deterioration Index column on the Patient List, providers and nurses can: - Click the wrench or Edit List button from the Patient Lists activity.
- Select Properties from the drop-down menu.
- Enter edi in the Properties window Search bar.
- Click Add Column.
Nurses can also add a Deterioration Index tab on the Summary Activity by entering deterioration (or part of the word) in the Reports search field. This adds the tab as a summary report. For more information:

21st Century Cures Act Open Notes Sharing
Making Sure We’re All Prepared The 21st Century Cures Act covers a wide range of health care initiatives, including a requirement that patients have quick and easy access to their electronic health record (EHR) information, like test results. It also mandates that we make certain clinical note types available to patients at no cost, and these notes cannot be blocked (there are patient-focused exceptions to this rule). To meet this requirement, starting Friday, Dec. 31, HM will automatically share identified USCDI V1 note types via patients’ MyChart accounts, unless the provider deems auto-releasing may cause patient harm. This will give our patients easy and secure access to their
important health care information in alignment with Cures Act requirements. To make sure all impacted roles are prepared, over the next two months, we’ll regularly communicate updates and resources. Easier MyChart Results Release Workflow It’s now easier to write a result note and release results to your patients’ MyChart accounts, via a single screen. Using the updated Result Note activity, within InBasket Results review, you can do the following, while your Result Note remains open in the sidebar: - Review the Results report and any other information in the chart.
- Send a Result Note to another provider.
- File a
progress note.
- Release results to MyChart.

Starting Friday, Nov. 5, First and Third Friday On the first and third Friday of each month, starting Friday, Nov. 5 through January 2022, we’re offering an in-person Epic Ambulatory refresher and personalization course. This course covers navigating and creating tools in Epic to enhance patient safety, help you become more efficient and save you time.
