Looking Out for Your Company and Colleagues Amid Open Enrollment

Open enrollment season is a crucial time of year, but one that’s not without its obstacles. As HR team members keep busy evaluating plan options, weighing prices and communicating with employees, employees themselves are tasked with selecting plans that suit their family’s current — and future — needs.

An organized approach paired with quality communication is the best way to keep efforts on track. Here, BCH’s employee benefits professionals offer simple guidance and useful resources to help you remain prepared when it matters.

Tips to Streamline the Open Enrollment Process

Here are a few things your team can do to eliminate employee confusion and keep open enrollment moving efficiently forward.

Start Early and Communicate Clearly:
A week (or more) ahead of your company meeting, announce that open enrollment is coming up and provide each person with their specific plan options. Send out regular reminders and make sure team members know who they can turn to with any questions or concerns. Utilize various communication channels such as emails, posters and even one-on-one sessions, if possible, to ensure employees are well informed

Consider Available Digital Solutions:
Offer an easy-to-navigate online portal where employees can access information about their benefits, compare different plans and make selections. A user-friendly interface can significantly reduce confusion and save valuable time.

Organize an All-Hands Meeting to Cover Available Plans:
Create a meeting agenda that ensures you’ll cover the issues that matter most to your crew, and work hard to stay on track. And encourage everyone to ask questions. In addition, make sure the team has a point of contact they can consult with questions after the fact — whether they need guidance filling out paperwork, checking in on flexible spending account balances or something else entirely.

Take Smart Steps Toward Recovery Following a Storm

Much emphasis is placed on preparing for a storm, but quick action following a front’s departure is just as important. Here are steps you can take to get recovery underway and ensure the claims process goes as smoothly as possible:

    • Contact your insurance company immediately to get your claims process underway quickly. Widespread storm scenarios stretch adjusters thin, so the sooner you reach out, the better.
    • Make temporary repairs and dry out/protect your property as quickly as possible to prevent further damage.
    • Avoid making permanent repairs such as roof replacements until your adjuster has completed an inspection.
    • Take pictures or video before removing or covering damaged property or debris. Keep damaged property until the adjuster can see it and approve disposal.
    • Cover openings with a tarp or plastic to prevent additional damage and dry out water-damaged or wet areas immediately.
    • If your loss is covered by a policy, reasonable costs for temporary repairs are covered. Keep all invoices and receipts.

BCH’s Disaster Recovery webpage offers helpful tips to get you back to business following a storm. With everything from contact information for common insurance carriers to insights that make filing claims less complicated, it’s all about being prepared when it matters.
